Event Participation Guidelines

At Numerikraft, we believe that scientific exchange thrives in an environment of mutual respect, openness, and inclusion. Our events, whether in-person, hybrid, or virtual, are designed to foster intellectual collaboration, ethical dialogue, and professional growth.

These Participation Guidelines apply to all attendees, speakers, moderators, sponsors, and staff involved in any Numerikraft-organized initiative. By choosing to attend, you agree to uphold the standards outlined below to ensure a safe, respectful, and enriching experience for all.

Respectful and Professional Conduct

All participants are expected to maintain a high level of professionalism throughout the event. This includes:

• Treating all individuals with respect, dignity, and courtesy
• Engaging in discussions constructively and without hostility
• Avoiding any form of harassment, discrimination, intimidation, or personal attacks
• Listening actively and respecting diverse viewpoints and scientific approaches
• Following instructions from event organizers, session moderators, or technical hosts

Disruptive or inappropriate behavior may result in removal from the session or event at the discretion of Numerikraft.

Inclusivity, Equity, and Accessibility

We are committed to creating inclusive spaces where individuals of all backgrounds, disciplines, and identities feel welcomed and valued. Our commitment includes:

• Ensuring equal opportunity for participation, presentation, and visibility
• Accommodating reasonable requests related to:
  • Accessibility (e.g., wheelchair access, visual or auditory aids)
  • Religious observance (e.g., prayer space or dietary needs)
  • Dietary restrictions for catered events

Participants are encouraged to communicate any needs in advance so we can make the necessary arrangements to the best of our ability.

Use of Media, Recordings, and Event Materials

To protect both intellectual property and personal privacy, the following rules apply unless otherwise specified in the event documentation:

• Recording (audio/video) of sessions by participants is prohibited without written permission from Numerikraft
• Official event recordings, photos, and screenshots may be taken by the organizing team for internal use or post-event reporting and communication
• If you do not wish to appear in photographs or recordings, please notify the organizing team before or during the event so appropriate measures can be taken
• All distributed materials (slides, abstracts, programs) are shared for personal use only unless explicitly licensed or authorized

We respect the boundaries of all contributors and request that participants do the same.

Confidentiality and Scientific Integrity

Some sessions may involve the presentation of unpublished data, early research findings, or confidential insights. Participants are expected to:

• Refrain from sharing, replicating, or citing such information without permission
• Honor intellectual property rights, including authorship, citations, and proper attributions
• Comply with relevant data protection and privacy laws, especially in the handling of identifiable or sensitive information

Respecting confidentiality builds the trust required for meaningful scientific collaboration.

Anti-Harassment Policy

Numerikraft maintains a zero-tolerance policy toward harassment, abuse, or inappropriate conduct of any kind, including but not limited to:

• Verbal abuse, offensive language, or personal insults
• Unwanted physical or digital contact
• Sexual harassment, discriminatory remarks, or exclusionary behavior
• Bullying or intimidation in breakout rooms, chat forums, or networking spaces

Violations of this policy may result in:

• Immediate removal from the event
• Reporting to relevant authorities if necessary
• Banning from future Numerikraft events or partnerships
• Forfeiture of participation fees, if applicable

Incident Reporting & Support

If you witness or experience any form of misconduct, including harassment, discrimination, or ethical violations, please report it confidentially to:

All reports are taken seriously. Our event coordinators are trained to respond swiftly, sensitively, and discreetly. Where appropriate, we will take corrective action and provide support to those affected.

Liability and Participant Responsibility

While we work diligently to provide a secure and seamless experience, participants are expected to manage their own:

• Travel and logistics (for physical events)
• Equipment and internet stability (for virtual events)
• Personal belongings, devices, or valuables

Numerikraft will not be held liable for loss, damage, or personal injury occurring during event participation unless caused by proven gross negligence or willful misconduct on our part.
